Privacy Policy

House of Alchemiē provides AI business advisors for luxury service entrepreneurs. It is operated by Erica Powell, LLC, a Texas limited liability company. In this Privacy Policy, "we", "us" and "our" mean House of Alchemiē, and "you" means the person who visits our website, buys a plan or uses our advisor app. The policy explains what personal data is collected, who collects it, why, where it goes and the choices you have.
The policy covers the website at www.houseofalchemie.ai, including the sales page, checkout, sign up forms and the member library, all of which are hosted on Kajabi, and the advisor app at app.houseofalchemie.ai, which is our own software. Together these are the "Services", as in the Terms of Use. Because the website runs on Kajabi, Kajabi processes what you enter there on our behalf, and also runs its own cookies and analytics on the site. Kajabi's own Privacy Notice at kajabi.com/policies/privacy describes what Kajabi does with it.
This Privacy Policy forms part of our Terms of Use at www.houseofalchemie.ai/pages/terms. The Terms set out what we promise about your content and memory, how to cancel a plan and how to ask us to delete your account. This policy describes the personal data behind those promises in more detail. By using the Services or buying a plan, you agree to both. If you do not agree, do not use the Services.
If you have a question about this policy or about your personal data, email [email protected]. The same address handles support, notices to us, privacy questions and requests to delete your account, as section 20 of the Terms says. Members sign in at app.houseofalchemie.ai/sign-in.
1. Information you give us
Much of what we hold about you is what you choose to give us, in the five ways listed below. Card details are the exception. Kajabi and its payment processor hold those, and our app never receives them.
- At checkout on our website, Kajabi collects your name, email address and payment details. When a payment succeeds, Kajabi sends our app a notice carrying your name, email address, the offer you bought and the amount paid, never your card details.
- Your account is tied to the email address you used at checkout, or the one you enter if you sign up directly. You choose your own password, and we store only a scrambled form of it, never the password itself. Your name is optional: we take it from your order if Kajabi sent one, and you can add or change it in Settings.
- On your first sign in you answer a short intake about your business. At the time of writing it has eight questions, two of them required. The first time you meet each advisor, it asks a few questions of its own, which you can skip.
- Everything you type in a conversation with an advisor, and every reply, is stored with that conversation so the advisor can continue it.
- When you email us at [email protected], or fill in a sign up form or another form on our website, you give us what you write there. Website forms are Kajabi forms: Kajabi collects what you enter, and a copy can also reach our app.
Conversations often contain business and personal detail: who your clients are, what you charge, what you are planning and what is getting in the way. You decide what to share and how much. You own what you type, as the Terms of Use say, and the Terms ask you not to enter information you have no right to share, such as another person's confidential details.
2. Information we collect automatically
In the advisor app at app.houseofalchemie.ai, our own software records a small amount of information as you use it. The app contains no advertising, analytics or tracking script of any kind. It records:
- Each sign in creates a session record with your browser and device details (the user agent string), your IP address, the time you signed in and the time you were last seen. Settings shows your active sessions as a browser and device with a last seen time, and lets you sign the others out.
- Each sign in attempt, sign up, password reset request and verification email request is recorded against your email address or your IP address so we can slow down abuse. Five failed sign ins for one email address inside 15 minutes lock that account for 15 minutes, and 25 failures from one IP address block that address for 15 minutes.
- For each advisor, each month, we count your tokens, requests and internet searches and estimate their cost, and we show you your allowance in the app.
- Every message, conversation and memory fact carries a timestamp. Each reply also keeps its token counts and the sources it cited.
- When you start a conversation, we send the first part of your first message to our AI model provider to write a short title, and once a conversation grows long we send its older messages to the same provider to write a running summary. You can rename any conversation.
- Our server logs record errors and counts, never the text of your messages. If an email to you fails to send, the log records your email address and the error.
The website at www.houseofalchemie.ai is hosted on Kajabi. Kajabi runs its own analytics there through a script that reports each page you view and each link or button you click, with the link text and address, to a Kajabi server. Kajabi also sets its own cookies, including for the checkout, the member library and its analytics. Kajabi's Privacy Notice at kajabi.com/policies/privacy explains what Kajabi does with this.
A Meta (Facebook) pixel is also installed on the website through Kajabi. On the public pages it records one page view event, and the fields that could pass your name or email address to Meta are left empty. Section 6 says what the pixel receives and how to block it.
3. How we use your information
We use your information to run the Services for you, to keep them safe and to meet our legal duties, and only for the purposes listed here. Where a provider is involved, we say so.
- To run your account and access, using the purchase record Kajabi sends us when you pay, together with your email address, the scrambled form of your password and your sign in sessions.
- To have the advisors answer you and remember your business, by sending each message to our AI model provider together with your name, your intake answers, your memory, the recent messages in that conversation and passages from Erica's knowledge library, and by sending the message alone to our embedding provider to find those passages. When Evren searches the internet, our AI model provider runs the search inside the same request and the reply shows the sources.
- To build the shared memory and keep conversations easy to find, using a lighter AI model at our AI model provider to draw durable facts from your conversations, to write a title from your first message and to keep a rolling summary of longer conversations, and to let you add, correct and archive those facts on the Memory screen.
- To keep within your plan allowance, by counting the text sent to and received from each advisor and Evren's internet searches each month, which you can see in the app.
- To send account emails, meaning the verify, set password and reset password emails, through our email delivery provider, and to give support you ask for by email.
- To keep the Services secure and working and to investigate misuse, using sign in counts, session records, a record of admin actions, and logs that hold errors and counts, never the text of your conversations.
- To understand visits to the public website, through Kajabi's analytics and the Meta pixel described in section 6.
We open conversation content only for support you ask for, to investigate misuse, to keep the Services working, or where the law requires. The advisor app sends no marketing email. News or offers you sign up for on the website may come through Kajabi, and you can unsubscribe from those at any time.
4. Your advisors, AI and your conversations
Every message you send an advisor is sent from our server to our AI model provider to produce the reply, and to our embedding provider to find passages from Erica's knowledge library. We do not use your conversations to train AI models.
For each reply, our server sends our AI model provider your message, the most recent messages of that conversation, your name if you gave one, your intake answers and the answers you gave that advisor when you first met, the facts in your memory that you have not archived, the summary of a long conversation, up to six passages from Erica's knowledge library and the advisor's instructions. The reply is stored with your message in that conversation.
Your message also goes to our embedding provider, which turns it into numbers our server uses to pick those passages. The embedding provider receives the message itself, not your memory or the rest of the conversation. When Evren searches the internet, our AI model provider runs the search inside the same request, and the links she drew on appear under her reply. We keep those links and their titles with the reply. We do not keep the search results.
Our providers process your conversations on our behalf under their business terms. At the date of this policy, our AI model provider's published terms say that it does not train its models on what we send, and its published data retention notice says that it deletes the content of requests within 30 days except where it needs longer to enforce its usage rules or to comply with the law. Our embedding provider's terms let a customer opt out of any use of its content for training, and we have opted out; with that setting on, its published terms say it deletes your message as soon as it has processed it.
After each exchange, a background job on a lighter AI model from the same provider reads your message, the reply and the facts already in your memory, and draws out durable facts about your business for your memory. The same job writes the conversation titles and summaries described in section 2. Each saved fact appears on the Memory screen, marked as from a conversation with that advisor, where you can correct or archive it. Archived facts are left out of everything we send.
Our admin screens show conversation titles, the advisor, the time of the last message, counts and usage, not message text, memory or intake answers. Message text can be read only with direct access to our database, which we use only to give support you ask for, to investigate misuse, to keep the Services working, or where the law requires. Our server logs record errors and counts, never message text. Conversations are never shared with other members.
5. Who we share information with
We do not sell your personal information. We share it with the providers that run parts of the Services, who process it on our behalf under their business terms, and in the other cases listed below. We describe most providers by category rather than by name. Email [email protected] and we will send you the current list.
- Kajabi hosts the website, the checkout and the member library under its own Privacy Notice at kajabi.com/policies/privacy. Kajabi and its payment processor hold what you enter there, including card details, which the advisor app never sees. When a payment succeeds, Kajabi sends the app your name, email address and the offer you bought, and the app keeps that notice. When you submit a form on the website, Kajabi may send the app a copy of what you submitted, and the app keeps that too.
- Our hosting providers and our database provider run the advisor app and store everything it keeps, including your account, your conversations, your memory and the app's server logs.
- Our AI model provider receives, for every reply, your message, the recent part of the conversation and its summary, your name, your intake answers, your memory facts and passages from Erica's knowledge library, together with the advisor's instructions. When Evren searches the internet, the search runs at the same provider inside the same request. In the background the same provider also receives your messages, the replies and your existing memory facts so the app can write conversation titles and summaries and draw out memory facts.
- Our embedding provider receives each message you send so the app can find the matching passages in Erica's knowledge library.
- Our email delivery provider receives your email address and the account emails we send you, such as the link to set or reset your password.
- On the public website, the Meta pixel and Kajabi's own analytics receive information about your visit. The cookies section says what they collect and how to opt out.
We may also share information with our professional advisers, and we disclose it where the law requires or to enforce our Terms of Use. If House of Alchemiē is sold or merged, your information passes to the successor with the business, as the Terms of Use allow.
6. Cookies and tracking
The app at app.houseofalchemie.ai sets one cookie, hoa_session, which keeps you signed in. It lasts 30 days from sign in. Signing out clears it on that device. Sign out everywhere else, in Settings, ends your sessions on every other device. If you choose the dark theme, the app keeps that choice in your browser's own storage; it never leaves your device. The app sets no other cookie and runs no analytics, advertising or session replay script.
Our website at www.houseofalchemie.ai, with its checkout and member library, is hosted on Kajabi. Kajabi sets its own cookies and similar technologies on those pages. We do not control them, and Kajabi's Privacy Notice at kajabi.com/policies/privacy describes what Kajabi does with them. Two tracking tools also run on the public pages of the website:
- Kajabi's own analytics records the pages you view and every link or button you click, with the link's text and address, and sends that to Kajabi.
- The Meta pixel, an advertising measurement tool installed through Kajabi, tells Meta that your browser loaded a page here. Meta's documentation says the pixel receives your IP address, browser details, the page address and the referring page, the buttons you click, and Meta's own cookie if your browser holds one. The pixel on our public pages is set up without Meta's advanced matching, so it does not send your name, your email or what you type into a form, though Meta's documentation says the pixel can see the names of form fields.
We found no other analytics or advertising script on the public pages of our website when we checked them for this policy.
Your browser can refuse or clear all of these. You can block or delete cookies for any site in your browser settings, and a content blocker stops the pixel and analytics scripts. Blocking every cookie on the site may stop the checkout and sign in to the member library from working. If you have a Meta account, you can manage how Meta uses activity from other businesses in your Meta account settings. Our website shows no cookie banner; this section is our notice.
7. How long we keep information
We keep your account, your conversations, your intake answers and your memory for as long as your account is open, including after a downgrade. Nothing deletes a conversation or a memory fact on a schedule. Archiving a fact stops the advisors using it, and archiving a conversation moves it out of your list until you restore it, but neither deletes anything. Both stay in your account until the account itself is deleted.
- A sign in session ends when you sign out, when you end it in Settings, when we end it, or when it expires, which is no later than 30 days after you last used it. The record of an ended session, including the IP address and browser it came from, stays until your account is deleted.
- Sign in attempts are recorded by email address and IP address so that repeated failures can be blocked for 15 minutes. Sign up, password reset and verification requests are counted the same way. A job that runs every night deletes these records once they are more than a day old.
- The monthly counts of your usage are kept while your account is open.
- The records Kajabi sends us when you buy or renew a plan or submit a form on the website, and our log of the actions our own admins take, are kept as business records and are not deleted.
To have your account deleted, email [email protected]. Deletion removes your account, your conversations, your memory, your intake answers, your access records, your sessions and your usage counts from our database. The records Kajabi sent us and the admin audit trail stay in our business records, and those can include your name and your email address. Kajabi keeps its own records of your purchase and billing on our behalf. Say in the same email if you want those handled too and we will take it up with Kajabi.
Where backup copies of our database exist so that we can recover from a fault, information you have asked us to delete can remain in a backup copy until that copy is replaced.
8. Your choices and rights
On the Memory screen you can add facts, correct them, archive any fact you no longer want used, and edit your intake answers, including those you gave a particular advisor. An archived fact is kept on our servers but is not used in any conversation. You can rename, archive and restore conversations. There is no delete in the app, for facts or for conversations.
- In Settings you can change your name and choose the type pairing and size.
- You can change your password, which also signs you out on every other device.
- You can sign out one device, or every other device at once.
- Your account email cannot be changed in Settings. Your access is granted by matching it to the email on your Kajabi account, so the two must stay the same.
Everything else is by email to [email protected]. Write from the address on your account so we can confirm it is you. You can ask for a copy of the information we hold about you, for a correction, for your account to be deleted, which removes your conversations and memory, or for the current list of our providers. Canceling your plan is by email too.
Residents of some places, including California, have rights under their local law to ask what we hold about them, to have it corrected or deleted, and not to be treated differently for asking. We answer those requests from anyone, wherever you live, in the same way.
The advisor app itself sends no news or offers. If we send news and offers by email, they go out through Kajabi's email tools, and you can stop them at any time with the unsubscribe link in the email, or by writing to us. Account emails, such as a password reset, are part of the Services and are not marketing.
9. Security
Your password is never stored as you typed it. We keep only a hash, made with an algorithm built for passwords. Sign in tokens are stored hashed too, so a copy of our database would not give anyone a working session. The links we email you to verify your address or to set or reset a password work once and expire.
An unused session expires within 30 days. In Settings you can sign out of another device or of every device except the one you are on, and changing your password signs out every other device. We may end sessions too. Repeated failed sign ins lock the account, or block the internet address they come from, for 15 minutes, as section 2 describes.
Connections to the advisor app are encrypted. The sign in cookie cannot be read by scripts on the page and is sent only over encrypted connections. The website, checkout and member library are hosted on Kajabi, and we rely on Kajabi for the security of those pages.
Admin screens are open only to the accounts we mark as admins, at present Erica and the app's developer. They show conversation titles, counts, usage and access, not the text of your conversations, and the actions taken there are recorded.
No method of storing or sending information is completely secure, and we cannot promise that yours will never be reached without permission. Keep your password and your email account secure, since anyone who controls your email can reset your password. If you suspect unauthorized use of your account, tell us at once at [email protected].
10. Children
The Services are built for adults who run a business. You must be 18 or older to create an account or buy anything from us. By using the Services you confirm that you meet that requirement, as our Terms of Use say in section 2. We do not knowingly collect personal information from anyone under 18, and we do not aim any part of the website or the app at children.
If we learn that someone under 18 has given us personal information, whether through a form on the website, a purchase, or the advisor app, we close any account opened with it and delete the personal information we hold about that person. We do this as soon as we can after we find out.
If you believe a child has given us information, or that someone under 18 is using an account, write to [email protected]. Tell us what you know, such as the email address on the account, so we can find the record and act on it. A parent or guardian can write to us the same way.
11. Where your information is processed
The advisor app at app.houseofalchemie.ai is our own software. It runs on a hosting platform in the United States. Its database is a managed service run for us by our database provider. Our AI model provider, our embedding provider and our email delivery provider are United States companies. Each of these providers processes your information on our behalf under its own business terms. You can ask us at [email protected] for the current list of providers.
If you use the advisor app from outside the United States, what you type into it is sent to our servers in the United States and processed there. Every message you send to an advisor is handled on those servers, passed to our AI model provider to produce the reply and to our embedding provider to find passages from Erica's knowledge library, and stored in our database. The privacy laws in the United States may not be the same as the laws where you live. By using the app you accept that your information is handled this way.
Our website, checkout and member library at www.houseofalchemie.ai are hosted on Kajabi. What you type into a Kajabi form or the checkout, and what Kajabi's cookies and analytics record about your visit, is handled by Kajabi on our behalf, under its own Privacy Notice at kajabi.com/policies/privacy. This Privacy Policy does not describe where Kajabi stores that data. When you buy a plan, Kajabi sends the app the details of the purchase, including your name, email address and the offer you bought, and the app handles those details as described in this Privacy Policy.
12. Changes to this policy
We may update this Privacy Policy from time to time, for example when we add a feature, change a provider or the law changes. When we do, we post the new version on this page with a new "Last updated" date at the top. The version on this page is the current one.
If a change is material, for example a new purpose for your information or a new kind of recipient, we will also email you at the address on your account before the change takes effect. We do not email about changes that only make the wording clearer.
If you keep using the Services after the new date, the updated policy applies to you. If you do not agree with a change, stop using the Services and cancel your subscription by emailing [email protected]. In the same email you can ask us to delete your account.
Change emails go to the address on your account. If you do not have an account with us, this page is where you will find the current version, so check it when you visit the website.
13. Contact
Send questions, requests and complaints about this policy to [email protected]. That one address handles privacy questions, requests to see, correct or delete what we hold about you, complaints about how we have handled your data, and the support, notices and cancellations described in the Terms of Use. Put a clear subject line on your email, such as "Privacy request", and if you have an account, write from the email address on it so we can match the request to you.
Members sign in at app.houseofalchemie.ai/sign-in. Much of what you might ask for needs no email at all. The Memory screen lets you view, correct, add and archive the facts the advisors read and change your intake answers, and Settings lets you change your name, password and type preferences and sign out of other devices. Deleting your account or getting a copy of your data is by email, because there is no self-service export or deletion in the app.
Our website, checkout and member library are hosted on Kajabi. Kajabi's Privacy Notice at kajabi.com/policies/privacy says that for the customers of a business that uses Kajabi, Kajabi acts as a service provider to that business. So requests about what you entered on our website, at the checkout or in a form, come to us, and we take them up with Kajabi where needed. That notice also explains the cookies Kajabi sets for its own purposes. If you are not sure who to ask, write to us first.
